The Hampton Golf - Evergreen Lifestyles Management Event Site (HGELMES) is an web portal that was built as a tool for all the Event Coordinators to plan, schedule and showcase events thrown for each of the governed communities.

Screenshots and Features

Users entered their company LDAP credentials to login to HGELMES. This promoted a single sign-on interface, which bypassed issues with users forgetting thier credentials. And since it was connected to Active Directory, users were automatically added and removed from the system in one step, reducing man hours and maintaining system continuity.
Each community has a profile page that can be managed by authorized coordinators. The profile pages show details such as contact information, upcoming events, preferred vendors, and a search-able directory of community specific or company wide past events.
Events could be added multiple ways; by cloning a previous event or creating one from scratch. When creating an event, coordinators are asked to enter details, such as: date, backup date, location, backup location, demographic, budget/expense details, marketing details/requests. After an event is completed, final details are submitted (including attendee count), photos added and the report is sent to the General Manager for review.

Final Thoughts

The system worked well for several years until the bookkeeping software was updated. The new software now included a similar application to manage events, which the company ultimately transferred to.
